Pair Mentor

Sit one to one with a newcomer for twenty minutes so they leave having built something.

What this covers: The newcomer table for your shift
Walking one person at a time through the mini-course
Handing them to the next mentor if you need a break
Not part of this area: Pitching your own product or services
Recruiting for anything
Your own demo slot (sign up for that separately)
Time: One Sharathon. Arrive thirty minutes before doors, done when the last newcomer has something running. Reviewed after each event, and you pick whether to do the next one.

Floor Host

Float the room so nobody stands alone or looks lost.

What this covers: Spotting the person by the wall and getting them into a conversation
Pointing people to mentors, the demo list, the bathroom, the wifi
Telling Lucas when the room energy drops
Not part of this area: The demo clock (that is the Demo Wrangler)
Selling anything
Handling money or the door list
Time: One Sharathon, doors to breakdown. Reviewed after each event.

Demo Wrangler

Run the show-and-tell clock: nine-minute slots on a visible countdown.

What this covers: The presenter order and the countdown
Calling time at the end of each slot
Keeping the room's energy up between demos
Not part of this area: Picking who presents (the list is first come, first served)
Judging or ranking the demos
Changing the format on the day
Time: One Sharathon, from the first demo block to the last. Reviewed after each event.

Photo and Video Capture

Shoot short clips, write down quotes, and take the group photo at the time on the run sheet.

What this covers: Short clips of demos and the room
Three to five quotes written down with the person's name
The group photo at the time on the run sheet
Handing every file to Lucas the same day
Not part of this area: Posting anything yourself before the recap goes out
Filming anyone who has said no to being filmed
The main camera and audio rig (that is the AV Lead)
Time: One Sharathon, doors to breakdown, plus the same-day file handoff. Reviewed after each event.

Door and Check-in

Name tags, the check-in list, and the headcount.

What this covers: The check-in list and name tags
The headcount at doors and at the first demo
Getting each person's yes or no on being filmed at check-in
Not part of this area: Taking money (there is none to take at Sharathon)
Turning anyone away without checking with Lucas
The room itself once doors close (that is the Floor Host)
Time: One Sharathon. Arrive forty-five minutes before doors, done thirty minutes after doors open, then you are a regular attendee. Reviewed after each event.

AV Lead

Camera, audio, power, mounts, the ready kits, the display check with every presenter, and the file handoff.

What this covers: Everything that records or projects, from venue access to breakdown
The display check with each presenter before their slot
Where the files live between the event and publication
Not part of this area: Programming or the presenter list
Publishing footage
Committing the studio to any gear purchase
Time: Ongoing, one event at a time. Reviewed after each event.

Before work begins

Event support, teaching, media and business delivery can involve different arrangements. The terms for a specific contribution need legal review before job, role or pay offers. We then agree the actual scope, time, return and responsibilities with each person before work begins.

Credit, ownership and permission to use footage, photos, graphics or writing belong in that specific agreement. Sending this form does not transfer rights to your work.
